Your own form, data straight into your CRM: connecting a contact form to Dynamics 365 without building an integration from scratch

How do you connect a contact form designed by your marketing team to Dynamics 365 without building an integration from scratch? We show an approach based on native CRM mechanisms.

A landing page is often the first serious conversation a prospective client has with your company. A polished layout, consistent colors, and exactly the field arrangement the marketing team designed – it all serves one goal: capture the inquiry and pass it on before interest cools off. The problem shows up a moment later. The form looks great, but the data it collects ends up in a mailbox, a spreadsheet, or – in the worst case – nowhere, because someone forgot to check their email. A salesperson reaches out to the lead two days later instead of two minutes later, and someone still has to manually retype the data into the CRM.

That's exactly the moment to ask: what if the form your team designed could look exactly the way you want, while every submission landed in Dynamics 365 in real time – no clicking "export," no copying data, no waiting?

Why build your own form instead of relying on the one built into the CRM

Dynamics 365 Customer Insights – Journeys has a built-in marketing form builder, and in theory you could base your entire lead-capture process on it. In practice, many companies opt out for a few reasons:

  • Branding and UX – a form embedded via the standard builder rarely looks identical to the rest of the site; differences in typography or spacing are immediately visible.
  • Site performance – extra scripts and styles loaded from an external domain can slow down the page and hurt Core Web Vitals scores, which in turn affects SEO.
  • Field and validation flexibility – a custom form can be tailored freely to the sales funnel: conditional fields, multi-step flows, reCAPTCHA integration, or event analytics.

In short: the marketing team wants full control over the look and user experience, while sales wants the data from that form to land straight in the CRM. These two expectations have long been treated as mutually exclusive – but it's a challenge that can actually be solved.

Example: a contact form fully aligned with the brand's visual identity.

The hidden cost of an isolated form

A form that doesn't "talk" to the CRM generates costs that often go uncounted:

  • Lost response time. The faster a salesperson reaches out to a lead, the higher the chance of conversion. Manually moving submissions from email to CRM means a delay measured in hours, sometimes days.
  • Duplicate work. Someone has to open the message, copy the data, paste it into the right fields in Dynamics, and assign it to the right salesperson – time the sales team could spend talking to clients instead.
  • Errors and incomplete data. Manual retyping means typos, skipped fields, and GDPR consents that never get recorded in the right place.
  • No visibility in reporting. If a lead doesn't land in the CRM right away, it also disappears from the sales funnel – management doesn't see the real number of inquiries or the actual performance of the campaign that generated the form.

Our approach: a custom form built on the vendor's native mechanisms

This is where it gets interesting. We don't propose building an integration from scratch – that is, your own backend that receives form data, validates it, then connects to the Dynamics API, handles authentication, and retries on failure. That's an expensive solution to build and an even more expensive one to maintain.

Instead, we rely on the ready-made, native data-capture mechanisms that Microsoft itself offers within the Dynamics 365 ecosystem. In practice, this looks like:

  1. The form's front end – HTML, CSS, validation, steps, and animations are designed to look exactly like the rest of your site. Users notice no difference at all.
  2. Data submission is wired into the ready-made Dynamics 365 (Customer Insights – Journeys) form-capture mechanism, or into a Power Automate flow deployed on the client's tenant, instead of writing a custom integration layer.
  3. Data lands directly in Dataverse – the same database the CRM itself runs on – preserving field mapping, marketing consents, and assignment to the right campaign or segment.

The result: you get a form that looks and behaves exactly the way your team designed it, while maintaining zero lines of custom integration code on the CRM side. Updates, security, and Dynamics compliance stay with the vendor – you keep full control only over the visual layer.

The same submission, a second later – already a finished record in Dynamics 365:

Business benefits in practice

This approach translates into concrete, measurable benefits for the organization:

  • Faster sales response time – a lead reaches the right person in the CRM almost immediately after the form is submitted, with no intermediate steps.
  • Zero duplicate data entry – sales and marketing no longer waste time retyping submissions, resulting in fewer mistakes and more time for client conversations.
  • Full control over the site's design – marketing retains 100% design freedom, with no compromises imposed by a built-in widget's limitations.
  • Consistent, complete data for reporting – management and sales see the real number and quality of leads in real time, directly in Dynamics 365.
  • Lower maintenance cost – the integration relies on native mechanisms supported by Microsoft, so you're not maintaining your own fragile bridge between the site and the CRM.
  • Scalability without extra development effort – additional forms on future landing pages can be wired into the same proven mechanism.

Summary

You don't have to choose between a polished website and a well-functioning CRM. A custom form and Dynamics 365 can work together – as long as the integration relies on the vendor's ready-made, native mechanisms rather than a hand-built bridge between two systems. It's the approach we implement for our clients: faster, cheaper, and with less risk than building an integration from the ground up.
