How to manage event registration forms in Customer Insights – Journeys? In this article, we present various approaches to this issue.
When creating an event or series of events, it is worth considering how to manage the registration form - should you create a separate one for each event, or perhaps prepare a single template? Below are various approaches to this issue.
Creating a new event
All methods presented below are based on actions taken from the level of a created event. It is possible to prepare a template from the level of Real-time Journeys, but this aspect will not be discussed in depth here.
First, you need to create a new event:
Then save it.
Finally, go to the Form tab.
Creating a new registration form
Option 1: “Create new form” under Default registration form
Create a new form.
Then select your preferred template from Custom Templates or “Basic event registration form” from the Gallery, which will be the template hidden under “Default registration form.”
After reviewing the preview and ensuring that the template is what you want, press “Select.”
Option 2: Press the “Edit” button next to the existing form
Select edit on an existing form.
If you are using this form in an active event, a new window will appear. Select the blue “Create a copy” button.
This will create a new form based on the base template. All changes made to it will be unique to the event and will not affect the template itself.
Selecting and modifying an existing form
To select a previously used form, e.g., for a series of planned events, so that it can be used for the next event, select the “Select another form” option located under Default registration form. A new window will open, allowing you to select an existing form.
This method can be useful when, for example, a series of events has its own modified template, but at the same time it is not a permanent change.
Option 1: Modify the selected form for a single event
If it becomes necessary to modify the selected form (only for a given event), proceed as described in Option 2 in Creating a new registration form.
Option 2: Modify the selected form for the entire series
After clicking edit next to the form, a window may appear (if the form is used in an active event). Select the link “click here” in the text.
After entering the form and pressing the “Edit” button.
A new window will appear, in which we press the blue “Continue” button. Otherwise, the effect would be the same as in Option 2 described in Creating a new registration form.
Modifying a form using dynamic objects
Dynamic text
When modifying the form, you will encounter text fragments containing double curly brackets: {{ }} with text inside. This is dynamic text. This means that this text uses information contained in the event description to complete the form.
The basic types of dynamic text include:
- EventName – is the name of the event, which corresponds to the system name. The “Event Name” field is located in the ‘General’ section and the “Key information” category.
- AboutEventDescription – is a description of the event, which has been added in the “Additional information” section, “Additional information” category, and in the ‘Description’ field. If there is no text, the default text that will be placed instead of the text in the aforementioned field is: “Description”.
Dynamic Image
At the top of the form, there is also the following passage.
This is a condition that refers to loading an image of the event located in the “General” section and the “Main information” category.
If the image is not added, this space will not appear – so no modification is required, even if the image does not appear.
Modifying dynamic texts
To modify the content of dynamic texts, modify the content of the relevant fields, and then:
- Save
- Refresh
- Switch to the Form tab and see the new preview
Or activate the event (Go live) after saving.
Then open the event URL.
And preview the completed form.
Modifying texts from the form editing window
If you want to manually modify the text from the form level rather than the fields filled in the event itself, you should – if preferred – delete the dynamic text, preferably with the entire element.
Replace it with the “text” element (or another preferred element). If you want to edit the text and change it, for example, into a heading, remember that the editing tools are located at the top of the panel, not on the right-hand side, as is the case with many other fields:
Once you have finished making changes, simply save and publish (if not already published) the form.

In addition to preparing a template in advance, there are several effective ways to create unique registration forms or forms that support entire series of events. The Customer Insights – Journeys platform itself additionally supports both dynamic objects designed to assist the user with existing fields, as well as manual editing that bypasses these objects. By knowing how to use different registration form management paths, you can avoid many mistakes (e.g., modifying the form for all events) and significantly improve your work experience.
